Privacy Policy
Last updated 5 November 2026
This policy explains what George AI Bot collects when you use the payments console, why we collect it, and the choices you have. We keep the app deliberately plain and we collect as little as the service needs to work.
Who this covers
This policy covers the George AI Bot web app, its public pages and the support assistant built into it. In this policy, "we" and "us" mean the George AI Bot team, and "the service" means the George AI Bot app.
What we collect
- Account details: your email address, your name if you provide one, your sign-in method and your role in the app.
- Ledger data you upload: the JSON ledger file you import, and the wallets, invoices, payment requests and payments read from it. These records are stored so the console can show them to you on any device.
- Payment records: the amount, reference, method and status of each payment you make or receive, together with the invoice it settles.
- Support messages: the conversation you have with the in-app support assistant, and any message you send through the contact form.
- Technical data: the language of your browser, and the small amount of storage described below that keeps your session and preferences working.
We do not ask for your card details. Card payments are completed on the payment provider's own page, which handles the card data.
Why we use it
- To run the service you asked for: read your ledger, show balances and invoices, take and record payments, answer support questions.
- To keep accounts secure: verify your email, keep you signed in, and block accounts that must not reach the console.
- To meet legal and accounting obligations, such as keeping payment records.
- For our legitimate interest in keeping the app working, which means diagnosing faults and understanding how features are used, always with the least data that makes that possible.
We do not sell your data, and we do not use it for advertising.
Payments
Card payments are processed by the payment provider connected to this app, Base44 Payments. The provider receives the amount, currency, reference and your email, and it handles your card details directly. We receive confirmation that a payment succeeded and it is written against the invoice in your ledger.
The support assistant
Messages you send to the in-app support assistant are passed to an AI model so that it can write a reply, in your browser's language, and the conversation is stored so you can pick it up again. Never send a password, a ledger passphrase or full card details to the assistant, because a reply is generated by a machine and those details are not needed to answer a support question.
Cookies and local storage
We use the minimum needed to keep you signed in and to remember your preferences. They are stored in your browser:
- Your sign-in session, so you stay signed in between pages.
- Your language preference, so the app opens in a language you have chosen.
- Cached interface translations, so translated pages load quickly.
- The reference to your support conversation, so the assistant remembers what you discussed.
There are no advertising cookies, no third-party tracking pixels and no session recording on the public pages. Clearing your browser storage removes all of the above and signs you out.
Who we share it with
- Our hosting and platform provider, which runs the app and stores its records.
- The payment provider, Base44 Payments, to take a card payment.
- The AI model provider, to generate a support reply.
- Authorities, where we are legally required to disclose something.
Each of these receives only what its part of the service needs. We do not otherwise pass your ledger on to anyone.
How long we keep it
Ledger data and payment records stay while your ledger is imported and are removed when you remove the ledger file or ask us to delete your account. Support conversations and contact messages are kept for as long as needed to deal with the enquiry. Payment records are kept for the period accounting law requires.
Your rights
If you are in the United Kingdom, data protection law gives you the right to ask for a copy of your data, to have it corrected, to have it deleted, to restrict or object to how it is used, and to receive it in a portable format. Ledger files can be exported from the console at any time, with optional passphrase encryption, so a copy is always yours.
To exercise any of these rights, contact us through the contact page. If you are not satisfied with our answer, you can complain to the Information Commissioner's Office, the UK supervisory authority for data protection.
Keeping it safe
Access to your ledger is tied to your signed-in account. Ledger exports can be protected with a passphrase you choose; that passphrase is never stored by us and cannot be recovered, so keep it somewhere safe. If you believe your account has been accessed by someone else, contact us immediately.
Changes to this policy
If this policy changes, the date at the top changes with it and the current version is always on this page. Where a change materially affects what we do with your data, we will say so in the app.
